Qualifications Required: Bachelor’s degree, or equivalent combination of
education and experience. Understanding of the fund raising/development
process. Understanding of prospect research and ability to maximize the utility
of the Internet and other resources for this purpose. Excellent communication
and interpersonal skills, including the ability to communicate persuasively,

applies to Chapman University. Solid writing skills to prepare clear, concise,
and effective correspondence, proposals and other documents. Ability to
collect, analyze, and report financial data clearly and accurately. Ability to
supervise and mentor professional staff. Advanced user of word processing,
spreadsheet, Internet, and electronic mail software, preferably of Microsoft
Office Suite software.
Qualifications Desired: Understanding of gift recording and reporting
fundamentals/regulations. Understanding of and ability to manage technological
resources in the workplace. Understanding of the academic, research and
education functions and operating principles of a private university.
Experience with or membership in professional organizations for prospect
researchers. Experience using Datatel’s Benefactor software application.
Background in business or accounting.
Responsibilities: Conduct prospect research and manage the following
University Advancement’s processes and systems: financial expenditures and
reporting; gift recording and reporting; and prospect management and tracking.
Oversee and track divisional and department revenues and expenses. Perform
budgetary adjustment and annual recast. Manage information systems for
biographical data collection, maintenance, and reporting. Administer extensive
identification and tracking system for individual gift prospects and corporate
foundation assignments, clearances, and proposal status (PMATS). Develop,
communicate, and implement division’s policy and procedures for database
management and the use and confidentiality of donor records. Oversee compliance
with CASE Reporting Standards, IRS regulations for charitable
contributions/gift recording, and state and federal regulations regarding
privacy. Participate in divisional strategic planning and provide recommendations
to the vice president regarding management strategies and organizational
tactics to improve effectiveness of fund raising systems and divisional
performance. Collaborate with the IT department, purchasing office, and other
departments to manage and ensure appropriate technological and functional
resources/enhancements for the division. Perform human resources functions for
the division, including hiring, ongoing supervision and mentoring, and
conducting annual performance reviews for staff. Perform other duties as
assigned.
This position may require use of personal transportation to off-campus
locations for events or meetings. It may require overnight travel and
occasional evening and weekend hours to accommodate business needs. The
position is located on the second floor of an historic building without
elevators.

As
part of the Development Office, the Development Research unit serves as
the principal campus authority on prospect research and wealth trends,
actively participates in the planning and implementation of fundraising
campaigns, and manages the campus-wide prospect management and tracking
system (PMATS) to coordinate the campus-wide major gift activity. The
unit has overall responsibility for major gift prospect identification
and research in support of the campus-wide fundraising goals and
objectives.
Responsibilities: Proactively and independently plan and
execute strategies to identify sources of major gift ($25,000+) private
support for campus-wide fundraising initiatives. Analyze and assess
information from local, national, and international resources; financial
and philanthropy reports; references (both printed and electronic); and
University files. Utilize quantitative criteria to evaluate each
identified prospect’s potential and propensity to give.
Research/identify potential volunteers for leadership positions,
stewardship events, Chancellor’s events, Alumni Association Board, UC
Davis Foundation Board, and campaign committees. As a result of
analysis, write documents including profiles, biographies, and project
summaries. As a key member of various campaign strategy committees and
liaison to a portfolio of development directors, consult with diverse
campus contacts on matters related to prospect identification and
research analysis which are used to form prospect cultivation and
solicitation strategies. Provide consultative services and orientation
sessions on research methodologies and resources to campus personnel
involved in fundraising.
Experience Requirements: Demonstrated ability to think
critically and analytically in order to
initiate and perform complex analyses. Advanced analytical skills and
ability to interpret/analyze complex financial and legal disclosures,
technical and trade documents. Demonstrated experience in prospect
research, development, library research or related field preferably in
an academic environment. Demonstrated ability to conceptualize and
develop proactive prospecting methodologies to support organization
goals; identify prospects and understand wealth indicators. Excellent
customer service skills. Exceptional writing and oral communication
skills. Demonstrated skill in utilizing multiple electronic resources
such as Lexis/Nexis, Dialog, and Dun and Bradstreet to locate and
compile business and biographic information.

Position Purpose and Summary: The Data Representative (entry level position)
works closely with Development Research staff in support of the CHLA Foundation’s
comprehensive campaign. This individual provides confidential and diverse
computer data entry and administrative support and assists in all aspects
of maintaining accurate and complete information on major gift and planned
giving prospects and donors in the Millennium database. Acting as the central
source of prospect information, and the Data Representative plays an important
role in the communication of this information with Development Research and
Foundation staff.
Duties and Responsibilities: Responsible for correct and timely creating
of new constituent records and recording of all types of information on individual,
corporate and foundation donors in the Millennium database, with the exception
of gift data. Uses analytical skills to make decisions on use, accuracy and
location of data. Accurately runs department reports as directed. Other limited
database management assistance may be required. Responsible for retrieving
materials from files and establishing new files as requested. Reviews documents,
sorting and distributing items in files according to established systems.
Responsible for all departmental photocopying and scanning, routing and tracking
for all subscriptions, electronic document tracking and attaching Millennium
database records. Creates database-tracking forms using high-level Word skills
and requiring independent judgment as to format and style. Provides back-up
support to Development Assistant II upon request
Education/Training Required: High School degree and 1-3 years in an office
environment with basic word processing and data entry skills are required.
An AA degree or computer skills a plus. Demonstrated ability to organize
information, follow instruction and manage
multiple assignments. Ability to work independently with minimum supervision
as well as be able to contribute to a team approach to goal attainment. Must
be detail oriented, accuracy with names and numbers is required, and must
have analytical abilities. Computer experience required including basis knowledge
of MS Word, Excel, and Internet Research.
